FF&E Specialist (Hospitality)

Job Role

The FF&E Specialist is responsible for the selection, specification, sourcing, and coordination of all Furniture, Fixtures & Equipment (FF&E) for hospitality projects. The role ensures that all FF&E elements support the project's design vision, brand standards, budget requirements, and operational needs.

The successful candidate will work closely with designers, procurement teams, suppliers, contractors, and our client throughout the design and implementation process.

Key Responsibilities

FF&E Design & Specification

  • Develop FF&E concepts aligned with the overall design narrative and project brief.
  • Select furniture, decorative lighting, fabrics, artwork, accessories, finishes, and materials.
  • Prepare mood boards, presentation boards, and material palettes.
  • Create detailed FF&E schedules, specification sheets, and procurement packages.
  • Ensure all selections meet hospitality brand standards, functional requirements, and guest experience expectations.

Sourcing & Vendor Coordination

  • Source products, materials, and finishes from local and international suppliers.
  • Obtain quotations, samples, lead times, and technical information.
  • Maintain relationships with manufacturers, vendors, and suppliers.
  • Evaluate products based on quality, durability, budget, and project requirements.
  • Stay updated on industry trends, innovative products, and sustainable materials.

Documentation & Technical Coordination

  • Prepare and maintain FF&E schedules, specifications, and BOQs.
  • Coordinate with interior designers, architects, consultants, and procurement teams.
  • Review shop drawings, material submissions, and mock-ups.
  • Ensure all FF&E documentation is accurate and up to date throughout the project lifecycle.

Project Delivery & Site Coordination

  • Monitor procurement and delivery timelines.
  • Conduct site visits to verify installations and placement.
  • Resolve design and installation issues in coordination with project stakeholders.
  • Ensure the final installation reflects the approved design intent and quality standards.
  • Support project handover and snagging processes.

Budget & Quality Management

  • Track FF&E budgets and cost variations.
  • Identify value-engineering opportunities without compromising design quality.
  • Monitor lead times and procurement schedules.
  • Ensure all products comply with project specifications and quality requirements.

Qualifications

  • Bachelor's Degree in Interior Design, Architecture, or a related field.
  • Minimum 5 years' experience in FF&E design within hospitality interior design projects.
  • Experience working on luxury hotels, resorts, F&B venues, or branded hospitality projects.
  • Strong understanding of hospitality operators' standards and guest-experience design.
