Office Manager / HR
Our client, an award-winning interior design studio with global offices, is seeking an Office Manager/HR to oversee daily operations for their BANGKOK studio. Duties include managing facilities and vendors, and delivering comprehensive HR support, including recruitment, onboarding, payroll coordination, and employee relations. This is a key role for a proactive, organised professional who thrives in a creative, international environment.
Office Management
- Manage the day-to-day operation of the office, managing and coordinating all facilities and vendor contracts
- Work with building management to ensure that building safety and security is maintained
- Act as the main point of contact for employees and provide day-to-day general administrative support
- Ensure compliance with local laws and legislation in terms of health, safety, and business best practice
- Operate a variety of equipment (copiers/printers) and perform basic maintenance to ensure daily readiness (toner placement, paper refill, etc.)
- Ensure the overall office premises are organised and tidy
- Monitor, order, and maintain the supplies inventory
Administrative
- Coordinate travel arrangements for staff and prepare expense reports/claims
- Organise and schedule meetings, special events, lunches, etc.
- Coordinate for payroll & invoice approvals as well as the payment process
- Perform additional duties as assigned and participate in special projects as required
- Greet visitors in a personalised, friendly, and professional manner
- Answer, screen, and effectively transfer calls to appropriate individuals, using proper judgment and problem-solving skills
- Check and circulate incoming mail and/or other materials, and handle routine letters
HR Duties
- Full spectrum of HR function, which includes recruitment, appraisal, employee relations, insurance, and other relevant matters
- Work closely with the outsourced payroll team on the monthly payroll
- Conduct onboarding and offboarding for the new and departing employees
- Handle work permit and visa as and when required
- Handle all paperwork relating to HR matters
- Oversee adherence to office policies and procedures
- Manage internal staff relations
- Ensure Personnel files are maintained and updated
- Manage leave requests in collaboration with Team Leaders
